Project Coordinator – Rainbow Restoration

The Project Coordinator plays a key role in supporting multiple Project Managers to ensure high levels of customer satisfaction and successful project delivery. This position bridges communication between internal teams, customers, insurance representatives, and vendors to facilitate the efficient and profitable restoration of customers’ properties to their pre-loss condition.

The Project Coordinator is responsible for managing project documentation, scheduling, estimates, material orders, collections, and maintaining consistent communication throughout the project lifecycle.

Pay Range: $25-30/HR depending on experience

Key Responsibilities

Project Coordination & Support

  • Support and coordinate the work of multiple Project Managers and project teams.

  • Maintain project files, schedules, and documentation from intake to project completion.

  • Identify and resolve barriers that could impact timely or successful project completion.

  • Track and report project progress, status updates, and key milestones.

Customer & Insurance Communication

  • Serve as a primary point of contact for customers, insurance adjusters, and vendors.

  • Communicate effectively and professionally via phone and email to ensure positive customer experiences.

  • Facilitate customer selections, material allowances, and warranty follow-up.

Administrative & Financial Management

  • Prepare, track, and manage contracts, invoices, estimates, and submittals.

  • Develop and write Xactimate estimates (training available if needed).

  • Prepare and process change orders and supplements as needed.

  • Support collections by ensuring timely client payments and accurate documentation.

Material & Vendor Coordination

  • Purchase materials and schedule timely deliveries with vendors.

  • Coordinate delivery logistics and verify accuracy of orders.

  • Assemble and manage emergency service estimates and related documentation.

Additional Responsibilities

  • Attend company meetings and participate in team initiatives.

  • Maintain organized and accurate digital and physical project files.

  • Perform light production tasks as needed to support project delivery.

Qualifications

Education & Experience

  • High school diploma or GED required; associate’s or bachelor’s degree preferred.

  • 3–5 years of experience in construction, restoration, or a related industry.

  • Experience using Xactimate is preferred (training available).

Technical & Professional Skills

  • Proficiency in MS Word and Excel; experience with industry software (e.g., Mitigate/MICA, Fusion) is a plus.

  • Strong understanding of project budgeting, job costing, and financial reporting.

  • Solid mathematical and analytical skills for project planning and cost projections.

  • Strong negotiation and problem-solving skills.

  • Excellent verbal and written communication abilities.

  • Collaborative team player who fosters open communication.

  • Customer-focused with a professional and empathetic approach.

  • Adaptable, proactive, and able to multitask in a fast-paced environment.

Physical Requirements

  • Regularly required to sit, stand, walk, and use hands for computer and administrative tasks.

  • Must occasionally lift or move up to 25 pounds.

Work Environment

  • Work is primarily performed in an office or job site environment.

  • Regular exposure to restoration job sites, which may include heat, moisture, fire damage, or mold.

  • Noise levels range from moderate to high depending on the environment.

Key Focus Areas

  • Full file ownership from intake call through final collection.

  • Strong documentation management using Mitigate/MICA and Fusion.

  • Xactimate estimating (minimum one year preferred; training available).

  • Excellent communication with customers and insurance representatives.

  • Consistent, professional phone and email communication.
