Position Summary

In this role, you will be front and center of office and business operations, providing administrative and operational support while helping ensure exceptional customer service experiences. You will work closely with technicians, managers, customers, and leadership teams to help keep day-to-day operations organized, efficient, and running smoothly.

Duties & Responsibilities

  • Be the friendly and professional first point of contact for customers over the phone
  • Answer incoming calls and help guide customers through service needs and next steps
  • Coordinate scheduling and dispatch support for field teams and service appointments
  • Build incoming jobs in operational systems with accurate and timely information
  • Maintain clear and organized job documentation, electronic notes, and customer records
  • Communicate updates with customers, technicians, and leadership regarding job status and scheduling changes
  • Assist with accounts receivable follow-up and customer payment communication
  • Help maintain organized office systems, processes, and operational workflows
  • Support team members with administrative and operational needs throughout the day
  • Maintain professionalism and empathy when assisting customers during stressful situations
  • Identify opportunities to improve efficiency and help support office organization
  • Perform additional duties and projects as assigned

Requirements & Skills

  • Ability to multi-task and operate efficiently in multiple systems simultaneously
  • Strong organizational skills with high attention to detail
  • Excellent communication skills — in person, over the phone, and written
  • Positive attitude with strong customer service and problem-solving abilities
  • Self-starter mentality with the ability to take initiative without waiting for direction
  • Ability to work independently while also thriving in a team environment
  • Comfortable in a fast-paced office setting with changing priorities
  • Eagerness to learn and grow within the Restoration Industry
  • Experience in the restoration, construction, service, or home services industry preferred
  • Experience with systems such as SmartQ, XactAnalysis, Xactimate, MICA, Symbility, or NextGear preferred but not required
  • Proficiency with Microsoft Office and general computer systems
  • Valid Driver’s License with a clean driving record preferred
